# Pre-Made Reports

We have 80+ Pre-made Reports for your store based on Sales, Products, Inventory, Tax, Shopify Payout, etc, which have been built based on the suggestions from 10,000+ Data Export customers.

You have various metrics to choose the reports from. **For example, let me choose a report from Sales and Order metrics**,&#x20;

The **'Sales and Orders Reports'** tab contains 20+ pre-created reports for your store.

Click on the report that you want to generate. After the report opens, save the report by clicking on the ![](/files/A2Cn6V6iZkHvOqgZGmor) button.&#x20;

# Reports

You can find all the reports that you have created and saved in the past.

Information regarding the report is shown adjacent to the respective report name.

* What **type of report** is it?
* **When** was it created?
* What **type of schedule** has been running on it?

**Actions**

* **Schedule** - You can directly schedule the reports by clicking on the schedule button and going through the scheduling process. To know in detail about scheduling click [**here**](/kb/scheduler).
* **Edit Report** - You can make changes to your report by clicking on the edit report button.&#x20;
  * You can make changes to the fields, date ranges, etc. However, you won't be able to change the report type.&#x20;
  * Kindly **save** the report once you're done editing for the changes to take effect.

# Scheduler

Here, you can find all the report scheduling tasks that you've created and a history of the scheduled reports that have run in the past.

### Schedule List

Information regarding the schedule is shown adjacent to the respective report name.

* What **type of schedule** is it?
* **When** was the scheduling task created?
* When exactly is the **next report going** to arrive?

**Actions**

* **Edit Schedule -** You can make changes to the schedule by clicking on the green edit button. However, you are limited to only change the output options.
* **Delete -** You can delete the schedule by clicking the delete ![](/files/T8KIa3OoxUXOYtZ0qYAp) button.

### Report & Schedule History

This tab shows you the report scheduling history of all the schedules run in the past.

* What **type of schedule** was it?
* **What time** was the report delivered?
* **What period** of data does the delivered report contain?

**Actions**

* **Download -** You can manually download the delivered report by clicking the download Icon

**Note:** The report that you scheduled will already be present in the mail or cloud, that you've chosen as the ***Output Option.*** You can view the report from your ***output option*** as well.

# Settings

This section provides additional sync options along with integrations for scheduling your report.

## Shop & Plan Information

* **Shop Time Zone:** View the shop time zone. We don't provide an option to edit the time zone. In case you require a change in time-zone, kindly [**contact-us.**](https://reportpundit.com/contact/)&#x20;
* **Installer Email:** View the installer email. You can change the email address by clicking on the edit button. <img src="/files/-Mfly2YSvs9wHjwWHboD" alt="" data-size="line">&#x20;
* **Plan Status:** View the status of your plan and subscribe to a plan from this section.

For example, Advanced Shopify Stores can only subscribe to the Advanced Shopify Plan on the Data Export app.

## Additional & Optional Sync

* There are various **sync options** that every store does not require. Hence, we give you the option to **sync only the necessary information** regarding the store.&#x20;
* To **turn on** any sync option, **toggle** the corresponding button.

## Schedule Integration

You can integrate the app with **an FTP** account, **Google Drive** or **Google Sheets** account to schedule the reports to auto-deliver to the respective accounts.

## Password

Restrict access to the app by adding a password. Once you **create the password**, you have the option to **change** the password or **disable** it.

In case you wish to **disable** the password, you'll be able to **reset** it.

## Force Sync

* We **refresh** your records each time you **access the app** or **schedule a report**.
* Sync also takes place **by default every 6 hours,** irrespective of whether you access the app or not.&#x20;

Sometimes the **sync options** that you have **enabled** records, might not immediately reflect in the report. In this case, you can **force sync** your records to manually **refresh** them at any time.

### :clipboard: *Steps to Manually Sync Data*

:heavy\_check\_mark: In the Settings page, you can find the question **'When was my data last synced?'** Click on the question to view your **sync history**.

# Data Synchronization

When you initially install Data Export, we require your shop records to sync with our app in order to generate your reports quickly.

### **Why is Data Sync necessary?**

Once the Shop Data is synced with Data Export, the report generation occurs **instantaneously**. Data Sync is a prerequisite for generating the report at such rapid speeds.

### API Call Limit

Shopify enables us to make **2 requests/second** for **Basic Shopify, Shopify, and Advanced Shopify** users, and **4 requests/second** for **Shopify Plus** users. Hence, *sync time for **Shopify Plus** customers will be slightly faster.*

We can extract 250 records with each reques&#x74;**,** but it takes a while to sync these records with the app. **Data Export** will sync data based on the [**API Call Limit**](https://help.shopify.com/en/api/getting-started/api-call-limit) allowed by Shopify.

#### <mark style="color:orange;">**How does data synchronization work when you first install Data Export?**</mark>

When you first install Data Export, it will sync the data from the previous seven days. Following that, it will start syncing on a monthly basis. When the initial sync is complete, reports can be generated.

## :hourglass\_flowing\_sand: ***How Long will it take for my Shop Data to sync with Data Export?***

### :point\_right: **Orders**

Around ***500 to 600 records** are synced every minute*.&#x20;

* **Estimated Time for Sync Completion**
  * 100,000 Orders - 1-2 Hours
  * 500,000 Orders - 4-5 Hours&#x20;

### :point\_right: **Products** &#x20;

Around ***300 to 500 records*** *are synced every minute*. Products sync will be quicker since the majority of product data will be synced under Orders.

* **Estimated Time for Sync Completion**
  * 30,000 Products- 1-2 Hours
  * 60,000 Products- 2-3 Hours

### :point\_right: **Customers**&#x20;

Around ***1400 to 1500*** ***records** are synced every minute*. The Sync speed is comparatively higher since fewer resources are to be updated in the database.

* **Estimated Time for Sync Completion**

  * 100,000 Customers - Within 1 Hour
  * 500,000 Customers - 3-4 Hours

### :point\_right: **Transactions**&#x20;

Around ***500 to 600*** ***records*** are synced every minute. Transactions sync will be quicker since the majority of product data will be synced under the types mentioned above.

* **Estimated Time for Sync Completion**
  * 100,000 Transactions - Within 1 Hour
  * 500,000 Transactions - 3-4 Hours&#x20;

### :point\_right: Payouts

Around ***500 to 600*** ***records*** are synced every minute.

* **Estimated Time for Sync Completion**
  * 100,000 Transactions - 1 Hour
  * 500,000 Transactions - 3-4 Hours

### For Example,

If you have,

* Orders - 30,000&#x20;
* Products - 5,000
* Customers - 25,000
* Transactions -25,000
* Payout  - 15,000

then, the **Data Sync** will be completed within **one hour**.

### <img src="/files/-MabK4OXIRWlPbP-Tp4f" alt="" data-size="line"> Will my data remain within Data Export after uninstallation?&#x20;

[**According to the Shopify rules**,](https://help.shopify.com/en/manual/apps/app-personal-information#:~:text=You%20can%20revoke%20access%20to,collected%20while%20it%20was%20installed.) if you **delete Data Export**, all the synced data will be deleted automatically, 48 hours from the time of uninstallation. However, you can sync the data again if you choose to re-install Data Export after 48 hours.

*Let's consider that we need a report with the Inventory Quantity of products, along with the corresponding UPC and Price.*

# Customized Reports

Need more than what our pre-made reports have to offer? Custom Reports has you covered. With a few clicks, you can create the report that meets your needs. Or you can ask our experts to do it for you.

## :clipboard: *Steps to Create Customized Reports*

1. **Click** on **'Create report'.** You can find this button on '**Reports**' and '**Builder**'.

2. **Select** '**I'd like a custom report'** and go to the **next step**

**Select** the **fields** you want to add to your report using the **Field Selector** tab.&#x20;

### 9. Re-arrange field

You can **re-arrange the report fields** based on your requirement.

### 10. Select Date Range

**Select** your desired date range using the **Date Selector** tab. We have several **preset date ranges** to choose from ***OR*** **select** your own **Start** and **End Date** as per your requirement.

### 11. Save Report

&#x20;Finally, **Save** the report by clicking on the Save button. Once saved, you can access your report anytime from the **'Reports'** tab.

### 12. Export Report

You can **export/download** a report, without scheduling it.

Click on the **Export** button to download the report in **XLSX** format or **click** the **Download** button to download the report in **XLSX**, **CSV** & **PDF** format.

# 'Contains' & 'Not contains'

How does contains & not contains filter work
```

They **contain** filter is used when you have any specific word contained in a phrase.

**Example**: I want to filter the products which contain apples.

Consider that the store contains many products like Sony headphones, Bose headphones, Sony tv, Apple charger, Apple iPhone 5, Apple iPhone 6, Apple iPhone 7, Apple Mac computer, Apple headphones, Apple mouse, SanDisk music player, SanDisk Pen drive, Seagate hard disk, HP laptop, etc.

When the ***contains*** a filter for the product Apple is applied, the report will pull only the Apple products since all the products have the name Apple in common, i.e., Apple iPhone 5, Apple iPhone 6, Apple iPhone 7, Apple Mac computer, apple headphones, and Apple mouse.

Similarly, when ***not contains*** a filter for the product Apple is applied, the report will pull only the Non-Apple products, i.e. Sony Headphones, Bose Headphones, Sony TV, SanDisk music player, SanDisk Pen drive, Seagate Hard disk, HP Laptop.


# 'is' & 'is not'

How does 'is' & 'is not' filter work?
```

**'is'** filter will pull any given name in the filter.

**Example:** I want to filter a product title "**Airbus Scale model**" among hundreds of product titles.

When the filter is applied, the report will show only **"Airbus Scale model".**

If **'is not'** filter is applied, the report will exclude "**Airbus Scale model**" and show the rest of the product titles.

# 'include' & 'exclude'

The **'Include'** filter is used to add more than one filter condition.

**Example:** Filtering two product titles, "Airbus Scale model" &  "Airplane Painted Vintage", among hundreds of product titles.

When this filter condition is applied, the report will filter out all the product title except  "Airbus Scale model" &  "Airplane Painted Vintage".

**'exclude'** filter condition will filter out  "Airbus Scale model" &  "Airplane Painted Vintage" and show the remaining product titles.

# 'is BLANK' & 'is not BLANK'

How does "is BLANK" & "is not BLANK" filter work?
```

**'is BLANK'** filter condition is used to filter the blank records.

**For Example:** Filter all products that do not have any 'Variant Title'.

When '**is BLANK'** filter is applied on 'Variant Title' field, the report will filter out all the products that does not contain 'Variant Title'.

**'is not BLANK'** filter has been applied to 'Variant Title' field to show all the row which have inputs added, as shown below.

# 'Begins with' & 'Ends with'

How does 'Begins with' & 'ends with' filter work?
```

The '**Begins with'** filter finds all the records with a specific prefix and their related character.

**For Example,** we need to filter all the Variant SKUs that begin with "**CSBK"**. Hence, the **'Begins with'** condition filters all the SKUs beginning with 'CSBK', as shown below.

The **'Ends with'** filter finds all the records with a specific suffix and their related characters.

**For Example,** we need to filter all the Variant SKUs that end with **"02"**. Hence, the **'Ends with'** condition filters all the SKUs ending with '02', as shown below.

# '= Equals' & '!= Not equals'

**= equals** filter is used to find records that are equal to a specific value.

**For Example,** we need to find records of net quantity that are equal to 1. Hence, applying the '**equals'** filter will show net quantity values which are equal to 1, as shown below.<br>

!**= Not equals** filter is used to find records that are not equal to a specific value.\
\
**For Example,** we need to find records of net quantity that are not equal to 5. Hence, applying the '**not equals'** filter will show net quantity values which are less than or more than 5, as shown below.<br>

# Sort

Sort feature is used to arrange the values in the reports according to your preferred order.

Sort any fields in the report in ascending order from smallest to largest or alphabetically from A to Z.\
\
**For Example**: Sort the report by Product title. The report will sort the data in alphabetical order starting at A.

You also have the option to limit the number of rows to be shown to **Top 10**, **Top 25**, **Top 50,** or **Top 100**.&#x20;

You can also view all the rows on the same page by selecting the **'All'** option, as shown below:<br>

Sort any fields in the report in descending order from the largest to the smallest or reverse alphabetical order from Z to A.

**For Example**: Sort the report by Product title. The report will sort the data starting at Z.

You can also choose to see all the rows on the same page, as shown below.

# Custom Columns

There is a wide range of fields under each Report Type, yet there may arise a necessity for a field that is tailored to your needs.

Click the button shown in the picture below to create a Custom column.

You can create a **Custom column** based on your requirement. Name your field and choose your desired input format. The field can hold one of the following formats:

* **String**: You can add alphabets, numbers or alphanumerical inputs. Any number that is added will not have a numerical value (cannot be used for definite measure)
* **Number**: You can add numerical values to your field.
* **Boolean**: You can add Boolean Operators. Ex: '1' representing 'True' and '0' representing 'False'.
* **Date & Time**: You can add date, day and time inputs.

# Calculated Columns

There are various calculations and commands which can be executed through these custom fields.

The '**Calculated Columns**' editor can be used to create a custom function for a particular field.&#x20;

1. **Click** on ![](/files/jDNspQY7ydL1AG0FfdqG) columns
2. **Click** on the '**Add** **Custom Column**' icon.

4. **Enter** the field name in the respective space provided.

Trunc: Trunc removes the fractional part of the number and rounds numbers down to the nearest integer based on the value of the fractional part of the number.

Round: The round() function rounds a number to a specified number of decimal places.

```

Float: Float is used to store approximate values, not exact values. It has a precision from 1 to 53 digits.

Concat:  Concat() function adds two or more expressions together.

```
concat([field_1],' ',[field_2],' ',[field_3])

# Add Order line item properties to your report

How to **add order line item properties** to your report?

1. **Select** the **Line Item Id**
2. Go to **Add Columns>Calculated Columns>Add Calculated Field Name** as Order Line item Properties
3. In the body, **add this function**

# Add Metafields to your report

How to **add Metafields** to your reports?

1. Add **Order Id**, **Product Id**, or **Customer Id** fields based on your requirement
2. **Go** to Columns>**Add** Custom Columns>**Calculated Columns**>**Add** Calculated field name & **Enter the function**
3. For adding order meta field use&#x20;

rp_meta_fields_by_key([Order ID],test_1)
```

# Static Column

You can also create **Static Columns** based on your requirement. Name your field and fill in the static(fixed) value or characters that you desire to remain fixed for all rows.&#x20;

**For Example,** if you only ship your products through FedEx, then you can create a Static Column with '**Shipping Company**' as the field name and **'FedEx'** as the fixed input.

# Formatting Tools

The reports can be altered based on your requirements using our formatting tools.

To access formatting tools, click the **settings** button.

**Click** on the respective buttons to **enable** the particular settings. You can **enable multiple settings** at a time. These are the formatting tools and their functions :

## **Show Grand Total**&#x20;

Enabling this option will give you the total of each numerical field in the last row of the report. **Enable** this option b going to settings ![](/files/jIA6UwOaDY5fbornrK0X)

## **Show Subtotal**&#x20;

When the **subtotal is enabled**, the report will give the total of a group of values. The grouping is based on the first column from the left and its common inputs.

Go to **report settings** and **enable the subtotal**

Here are a few examples of subtotal:

Having the **'Order'** in the **first column** is **essential** for Sub-total to work.

## **Show Grand total on top**

Enabling this option shows the '**Grand Total**' on the first row below the fields.

## **One-line Summary**&#x20;

When **One-line Summary** is enabled, all data contained in the first column from the left will be grouped into its common inputs.

Similarly, having the **'Product Title'** in the **first column** is **essential** for 'Wrap Primary Records' to work.

## Show Detailed Report

When this is enabled, the report will display detailed records by an individual transaction.

As you can see above, that in a normal report, the transactions are summarized under the respective order dates. But in a detailed report, each transaction is shown in a distinct row along with the exact time of the order.

## **Report Name for PDF Header**&#x20;

When you export the report as PDF, the report name appears on the top as the Header as shown below. This option is enabled by default.

## **Select Currency Format**&#x20;

Choose from the available currency to add symbols to the numerical field that includes values of money.

# Clone & Delete

'Clone' & 'Delete' options can only be performed on saved reports which you can find under 'My Reports' tab.

# Hourly Schedule

Schedule the reports to be delivered every hour, every 2 hours or every 4 hours etc.

2. **Select** the '**Hourly**' option from the drop-down. **Click** on save and continue.

5. **Select** the output option. **Add** or **Integrate** an account if required.
6. Finally, **fill** in the required fields and **select** the output file format. **Click** on '**Save and Continue**'.

# Daily Schedule

Schedule last 24-hours report to be delivered at any specific time of the day.

<mark style="color:orange;">`Week to Date:`</mark> Fetch the data from Sunday onwards. For example, Sunday to Monday, Sunday to Tuesday, Sunday to Wednesday. Sunday remains constant.

<mark style="color:orange;">`Month to date:`</mark> Fetch the data from the first date of the current month to the current date. This action will repeat every week.

<mark style="color:orange;">`Quarter to Date:`</mark> Fetch the data from the first date of the current quarter to the current date. This action will repeat every week.

5. **Select** the output option. **Add** or **Integrate** an account if needed.

# Weekly Schedule

Fetch the data of the past 7 days and delivery it on any specific day.

***For example:*** &#x20;

* **If you select “9:00 AM” and “Monday” and “Tuesday”, you will receive 2 reports.**
  * The Monday report will contain the last 7 days of data from Monday, 9:00:00 AM to Monday, 8:59:59 AM. The report will be delivered every week on Monday, at 9:00 AM.
  * The Tuesday report will contain the last 7 days of data from Tuesday, 9:00:00 AM to Tuesday, 8:59:59 AM. The report will be delivered every week on Tuesday, at 9:00 AM.

1. **Open** the report that needs to be scheduled and **select** the schedule button.
2. **Select** the '**Weekly**' option from the drop-down. **Click** on **save and continue**.

# Monthly Schedule

This type of schedule will fetch data for the last 30 days and will deliver the report on any specific day

<mark style="color:orange;">`N Number of days:`</mark> Report will fetch the data weekly for any number of days from 1 to 31. For example, you can generate a report daily for the last 7 days or 10 days, etc.

<mark style="color:orange;">`Quarter to Date:`</mark> The report will capture the data from the first date of the current quarter to the current date. This action will repeat every week.

6. Finally, **fill** in the required fields and **select** the output file format. **Click** on '**Save and Continue**'.

# Email

Learn more about how to schedule the reports to your Email ID.

## ,*Steps to Schedule any Report to Email* :e-mail:&#x20;

1. **Open** the report that needs to be scheduled.
2. **Click** the ![](/files/fnY7kFqFc88fDW0jZ2ig) button.

3. **Select** how often you want to run the report like **Hourly**, **Daily**, **Weekly**, or **Monthly**, and proceed to the **next step**. **Click** on **Save and continue.**
4. **Pick** the **date & time** and **select** how much data you want to **capture**, and **proceed** to the **next step**
5. **Select** the output option as an email

6. **Enter Email: Enter** the email address to which you want to send your reports. You can **add** more than one **email address** by **separating** them with a **comma**.

7. **Optional Steps:**

* **Enter CC:** Enter the Email IDs to which you want to **Carbon Copy** the emai&#x6C;**.**&#x20;
* **Enter BCC:** Enter the Email IDs to which you want to **Blind Carbon Copy** the email. This step is **Optional.**
* **Reply Email:** Enter the Email address to which the person on the receiving end can reply.&#x20;
* **Personalized Fields:** The tool makes it convenient to draft the e-mail. You can drag and drop the personalized fields into the Subjects box or the Contents box.
* **Email Subject:** Write a brief subject for the email.
* **Email Contents:** Write a brief description of the scheduled report for your recipient.

8. **Select Report Format:**  You can choose between **Excel, CSV,** and **PDF** formats for your Report.
9. **Select Attachment Type:** You can choose between **Zip, File,** and **Link** type for your email attachment.

* .**Zip**: You will receive the report in a compressed **.zip** format. The file is low in size. The report is contained in the file. The report can be viewed by extracting it from the **.zip** file.
* **File:** You will receive the report file as it is, in the email attachment.
* **Link:** You will receive a **download link** for the report, in the attachment. You can download the report by clicking on the link.

10. **Ignore Blank Reports:** Choose whether you want to receive a report without any active data.

**For Example,** you have scheduled a Daily Sales Report. Let's consider that one of the days, there were no sales in your store. If you don't want a report without any data, then select **'Yes'.** If you still want to go ahead and receive the empty report, then select **'No'.**

11. **Advanced Excel Options**

* **Header Text:** Add a header to your report, which will be shown at the top of the report.&#x20;
* **Text Color**: Add a custom color to the Header text. The color is set to **Black (000000)** by default. You can double-click on the field and select a color, or manually add a hex code.
* **Background Color:** Add a custom background color for the Header cell. The color is set to **White (FFFFFF)** by default. You can double-click on the field and select a color, or manually add a hex code.
* **Text Size:** You can vary the text size from **12** to **24.** It is set to **12** by default.
* **Text Alignment:** You can align the text in the cells to **left, right,** or **center.** It is set to **'left'** by defaul&#x74;**.**

12. **Finally,** click the **'Save and Continue'** button.

# FTP

File Transfer Protocol (FTP) is also one of the scheduling options available in Data Export. FTP is known to be one of the most secure ways to schedule your reports.

## *Steps to Schedule any Report through FTP* :outbox\_tray:&#x20;

1. **Open** the report that needs to be scheduled.
2. **Click** the ![](/files/NOTQGUP7SyyDgZR61Rzr) button.

3. **Select** how often you want to run the report like **Hourly**, **Daily**, **Weekly**, or **Monthly**, and proceed to the next step. **Click** on **Save and continue.**
4. **Pick** the **date** & **time** and **select** how much data you want to **capture**, and **proceed** to the **next step**
5. **Select** the **FTP** tab and **click** on **Add FTP account.**

6. **Fill** in the **credentials of your FTP account.** Entering the Private Key is **optional.**

7. **Passive Mode:** It is enabled by default. Some customers use FTP in active connection mode. To resolve the issue permanently, we recommend that you switch to passive mode. You can ask your FTP provider to set up the FTP to accept the connection in passive mode.&#x20;

8. **Select** a connection mode and **Click** on the '**Test Connection'** button. If the result is '**Success**', click the '**Save and Update'** button.&#x20;

If the result is '**failed'** or anything els&#x65;**,** it can be due to multiple reasons.

* You might have to **whitelist** Data Export's IP Address
  * Public IP Address 52.88.73.68&#x20;
  * Private IP Address 172.31.36.202
* You might have chosen the **wrong directory path.**
* You might have chosen a different **Port Number,** apart from **21**or **22.**
* You might have typed an **incorrect password or private key.**

## Passive Mode

In Passive Mode, the FTP client still initiates a command channel connection to the server. However, instead of sending the PORT command, it sends the passive command, which is basically a request for a server port to connect to, for data transmission. When the FTP server replies, it indicates what port number it has opened for the ensuing data transfer. \
\
Here's how passive mode works in a nutshell:

1. The FTP client connects from a random port to port 21 on the server and issues the PASV command. The server replies, indicating which (random) port it has opened for data transfer. <br>
2. The FTP client connects from another random port to the random port specified in the server's response. Once the connection is established, data transfers are made through these client and server ports.

# Google Drive

You can authorize Data Export with your Google Drive account to schedule your reports to be directly delivered to your account.

1. **Open** the report that needs to be scheduled.

5. **Select** the **'Drive'** tab and **click** on **'Connect'.**

6. **Select** your **Google account** and **click** on **Allow** to grant permission for Data Export.
7. **Select** a folder **file type** & Include **static file name**

8. **Select** the **Google Drive folder** in which you wish to receive and store the report.
9. **Select** the **Report format.** You can choose between **Excel, CSV and PDF** formats.
10. **Select** **Output Type.** You can choose between **Zip** and **File.**

* .**Zip**: You will receive the report in a compressed **.zip** format. The report can be viewed by extracting it from the **.zip** file.
* **File:** You will receive the report file as it is.

6. **Select** your **Google account** and **click** on **Allow** to grant permission for **Data Export**.

8. **Enter** the **file name** and **Sheet title**.
9. **Choose** to **Append, Add Sheets** or **Overwrite** your report data.

* **Append:** adds the new data at the end of previous report data.
* **Add Sheets:** adds new data in a separate sheet in the same file.
* **Overwrite:** Overwrites the previous report data and replaces it with the new report data.

10. **Finally,** click the **'Save and Continue'** button to complete the **schedule setup**.

1. Why are my reports **not showing draft orders**?

* Data Export is designed to show only actual orders which are either marked as pending or paid.
* This is to prevent the report from showing incorrect sales, which happens when the draft orders get mixed up with actual order data.
* If you'd like to see draft orders in your report, kindly [contact us](https://dataexport.io/contact/) and we shall enable the option for you from our end.

2. Can I see **payouts in my Sales report**?&#x20;

* Data Export features a separate report type called "Payout" and "Payout Line items" to obtain detailed and accurate information about your payout data.&#x20;
* A Sales report does not contain fields related to Payouts.

3. Which field shows the **timeline comment** data?

* The timeline comments data will be stored under the Order Events section. Hence, we have to create a field for you from our end.
  * Enable Event Sync in the Additional Sync Section of the Account page.
  * Once the sync is completed, get in touch with us and we will create a custom field for you.

4. Which **language** can I use to write functions under Calculated fields?

* We can perform any arithmetic calculations or case statement inside the calculated field using **PostgreSQL.**

5. How do I write a **`CASE`** statement?

* &#x20;The `CASE` statement goes through conditions and returns a value when the first condition is met (like an `if-then-else` statement). So, once a condition is true, it will stop reading and return the result. If no conditions are true, it returns the value in the `ELSE` clause.  If there is no `ELSE` part and no conditions are true, it returns NULL.&#x20;
* `CASE` Syntax

* **SQL CASE Examples**

6. Can you include **additional information** about the **orders** and products like,**`metafields`**, **`line_item`** properties in the report?

* **Yes**, we can include additional custom information about the orders and products in the report. Kindly [contact us](https://dataexport.io/contact/), and we shall set it up for you.

7. Can I view **tax collection** by **county**, **city** & **state**?

* Shopify collects various taxes based on the Store delivery **Location Zip**, or rules **customized** & applied for collecting **taxes** by merchants.
* If the store is set to collect **taxes**, **Data Export** will pull the tax information to **deliver the tax** report. Hence, in order to view the **taxes by county**, **city** & **state** the **rule must be applied** in your **Shopify store** to collect these **taxes**.

8. How do I know the **Best-Selling Products** along with their Variant, SKUs, Vendors, and Product types?

* The above report can be viewed using 3 methods :&#x20;
  * **Customized Method:** Create a report customized to your requirements. Select the desired fields, sort the fields, and save the report. [**Click here**](/kb/reports/customized-reports) to learn how to create a customized report.
  * **Easy Method:** Use the pre-created report template 'Best Selling Products' which you can find under the 'Product & Variant Reports' section. Manually, select the extra fields which you need and save the report. &#x20;

1. Why have I **not received my scheduled reports**?

* It could be due to multiple reasons :
  * There will be a delay in the month-end since most of the customers have more schedules at the month-end.
  * If the data is more, It will take more time to generate.
  * The email would've been in the spam folder.
  * The email provided may be invalid or the schedule setup is incomplete.
  * User FTP server could've blacklisted Data Export.

2. Can I **schedule the reports into a pre-existing Google Sheet**?

* When you create a Google Sheet schedule, it will create a new Sheet in the Google Drive folder that you've selected by default. All the data will be exported into the newly created sheet.

* During your 15-day free trial, you'll have access to **all Data Export features**. After the trial period ends, you can select a plan to continue using Data Export.

7. **Can I upgrade/downgrade my pricing plan?**

* Data Export pricing is based on your Shopify store type: Basic, Shopify, Advanced, and Plus. No worries: we’ll automatically change your pricing plan based on your current Shopify account type.

8. **Do you offer discount pricing for annual plans?**

* Sorry, we do not offer annual pricing plans at this time.

9. **How do I cancel my subscription or close my account?**

* Uninstall the Data Export app from your Shopify store, and Shopify will automatically cancel your subscription.

10. **Why am I restricted to choosing only one plan among the available plans in Data Export?**

* Data Export pricing is directly based on your Shopify store plan: Basic, Shopify, Advanced, and Plus.  Each store type has a different number of orders and hence contains a different amount of information.
* Running more information through the app server demands more work from our end. Therefore, we offer our pricing based on the Shopify store plan.

# Data Sync

FAQs related to Data Sync

1. **How do you sync my Shopify data?**&#x20;

* When you log in to your Data Export account for the first time, we automatically synchronize all of your Shopify records. This can take just a couple of minutes, or a few days, depending on the size of your database. Returning visits require a much shorter sync time. [Click here](/getting-started/data-synchronization) to get an estimated sync time.

2. **Can I use Data Export while records are syncing?**&#x20;

* When using your Data Export account for the first time, we must perform a complete record synchronization of your Shopify store. Although you will be able to view and access most parts of Data Export, you won’t be able to create/build reports until synchronization has been completed. This ensures your data is 100% accurate.&#x20;

3. **When was the last time my data was synced?**&#x20;

* We refresh your records each time you log in to your account or generate a report. You can also force sync your records to manually refresh them at any time.

4. **Why is Data sync necessary?**

* Once the Shop Data is synced with Data Export, the report generation occurs instantaneously. For the report to be generated at such rapid speeds, Data Sync is a prerequisite.

5. **Does the inventory quantity field always show the current inventory?**

* Yes. The current inventory of the product will be updated in the Shopify API and when you sync the data, the new inventory values will reflect in Data Export.

  Shopify will not have the past inventory history in the API. They only update the current inventory in the API.

6. **Is there a limit to the quantity of data that can be synced?**

* Since it demands more work from our end to run a large number of records through the app server, we have enabled you to sync up to **2 years of records.**
* However, **Shopify Plus** customers can sync an unlimited number of records.
* Likewise, if you have a normal Shopify plan, you can switch to [Report Pundit](https://reportpundit.com/), which is a similar reporting app with added features. It enables you to sync an **unlimited** number of records. You can view a clear[ **comparison** ](https://dataexport.io/dataexport-reportpundit/)here.

7. **Will my data remain within Data Export after uninstallation?**&#x20;

* [**According to the Shopify rules**,](https://help.shopify.com/en/manual/apps/app-personal-information#:~:text=You%20can%20revoke%20access%20to,collected%20while%20it%20was%20installed.) if you delete **Data Export** all the synced data will be deleted automatically, 48 hours from the time of uninstallation. However, you can sync the data again if you choose to re-install Data Export after 48 hours.

9. How do I remove the Data Export app from my store?

&#x20;     a. Go to your Shopify admin page and click the search option, then select **Apps**

### Major Update.

#### UI/UX

We have added a completely new-look user interface (UI) and an exciting new user experience (UX) for our customers using Data Export.

Here are a few things to look forward to as part of this product update:

* Provide users with an improved UX (user experience), fresh new look and improved navigation and UI (user interface)
* Direct access to all pre-made reports and saved reports in a side-bar which is available on most pages of the app. This way you can quickly switch between reports.
* You can search for your saved reports and templates using the search bar which is available in the **Reports** page and the sidebar.
* Improved design responsiveness for users who use the app on their mobile phones and tablets.
* An easy walkthrough to create a custom report, which you can find on the **Builder** page.
* We have replaced the terminology for "**fields**" to "**columns**" throughout the app.
* Small UI improvements to the report layout.&#x20;
  * Formatting and Currency options can be accessed though :gear: (cog wheel) button, which opens as a side-bar.
  * Filter, Sort and Column selectors have been moved into dropdowns which can be accessed by clicking the respective buttons.

#### App Development

* Our database has been optimized to load your reports at faster speeds.
* Updated infrastructure with improved security, to prevent any breach.

#### Pricing

* Updated Pricing to make our app the most feasible and hassle-free reporting app on Shopify app store.

### Change in filter name

We have changed "is NULL" and "is NOT NULL" to "is BLANK" and "is NOT BLANK" respectively for better understanding, but their function remain the same.

### Password Protection

We have enhanced the app security with this new feature, which allows you to set a password for the app.

This restricts the staff to enter the Data Export app without the shop owner's permission.

Users can **create a password** on the **Account** page, under **'My Password'** section.

Once the password is created, the User gets an option to **Disable the password**, under the same section.

**Disable Password** - This option clears the password set. Anyone can enter the app without a password.

### Personalized Fields and Email Subject

**Personalized Fields:** This new tool makes it convenient to draft the e-mail. You can **drag and drop** the personalized fields into the **Subjects box** or the **Contents box.**

**Email Subject:** This has been newly added to write a brief subject for the email.

### 'Edited Sales' Report Type

Shopify introduced the **Order Editing** feature a few months ago, which allows merchants to **add** products/quantity and **remove** products/quantity.

Edited Sales Report reflects all the changes/edits that are made to the records of your Shopify store.

**For example,**

If we create a report, opting **'Sales'** or **'Order'** as the report type, then the changes made in the orders **will not be reflected** in the report.

Whereas, when we select **'Edited Sales'** as the report type the edits **will be reflected** in the report.
